Frozen-Integrity Policy
Effective October 12, 2026
1. Our Standard — Frozen Product Integrity
At Raleigh Reserve™, the care invested in preparing our cuisine extends through every stage of storage, transportation, and retail presentation.
Our products are prepared for frozen distribution and maintained at 0°F (-18°C) or below during frozen storage. Every retail delivery must arrive frozen, with product integrity preserved through transfer to the retail partner.
To uphold our quality and food-safety standards, products that have thawed after leaving our controlled frozen-storage process must not be refrozen, offered for sale, or returned to retail inventory.
Any product showing evidence of thawing, compromised packaging, or uncertain storage conditions must be removed from sale and handled in accordance with this Frozen-Integrity Policy.
These standards apply to all Raleigh Reserve™ retail partners and are intended to preserve the quality, consistency, and confidence associated with every portion we prepare.
2. Our Responsibility — Storage, Transportation & Delivery
At Raleigh Reserve™, our responsibility for product integrity begins in our kitchen and continues through the careful delivery of every order to our retail partners.
Frozen Storage & Transportation
All Raleigh Reserve™ cuisine is maintained in frozen storage at 0°F (-18°C) or below. Orders are prepared for distribution using clean, insulated transportation equipment and appropriate temperature-control measures designed to preserve frozen product integrity throughout transit.
Every delivery is handled with consideration for the freshness, safety, and quality of the cuisine entrusted to our retail partners.
Product Identification & Traceability
Each retail case is identified by recipe, lot number, and Best By date. Corresponding product details and quantities are recorded on the delivery invoice or accompanying delivery documentation, allowing every shipment to be traced to its originating production lot.
Delivery & Receiving
Orders are delivered directly to an authorized retail representative whenever possible. Together, we encourage a prompt review of the shipment’s condition, quantities, and accompanying documentation.
The receiving representative will be asked to acknowledge delivery by signing the invoice or delivery record, with any visible discrepancies documented at that time.
Upon acceptance, the retail partner assumes responsibility for maintaining proper frozen-storage conditions, as further outlined in Section 3.
Raleigh Reserve™ remains responsible for verified product defects or fulfillment discrepancies attributable to our preparation, packaging, storage, or transportation before delivery.
Our commitment is to provide every retail partner with cuisine that arrives as carefully handled as it was prepared.
3. Retail Partner Responsibilities — Receiving, Storage & Inventory Care
At Raleigh Reserve™, we consider our retail partners an important extension of the care that begins in our kitchen. Together, we share responsibility for ensuring that every portion reaches its final destination in the condition intended.
Frozen Storage & Temperature Monitoring
Retail partners are responsible for maintaining Raleigh Reserve™ products in suitable commercial frozen-storage equipment operating at 0°F (-18°C) or below.
Freezers must be equipped with a functioning thermometer or temperature-monitoring device. Storage temperatures should be checked and documented at least once daily, with any irregularities addressed promptly.
Products must remain frozen throughout retail storage, display, and handling until purchased by the customer.
Receiving & Inspection
An authorized retail representative must be available to receive deliveries, promptly inspect the shipment, and transfer accepted products into appropriate frozen storage.
Receiving staff should verify the recipe, quantity, packaging condition, and visible product integrity against the accompanying delivery documentation.
Any apparent discrepancies or concerns must be noted on the delivery record and communicated to Raleigh Reserve™ promptly.
A receiving signature acknowledges delivery and any documented observations. It does not waive the retailer’s right to report subsequently discovered manufacturing or packaging defects.
Inventory Rotation & Product Dating
Retail partners must maintain accurate product identification and follow a first-expiring, first-out inventory rotation system, prioritizing products with the earliest Best By dates.
Products may not be offered for sale beyond their labeled Best By date.
Lot numbers and product identification must remain legible and traceable throughout the retail holding period.
Product Integrity & Corrective Action
Products showing evidence of thawing, damaged packaging, compromised seals, or uncertain storage conditions must be removed from sale immediately.
Such products must not be refrozen, offered for sale, or returned to saleable inventory.
Retail partners must notify Raleigh Reserve™ of any suspected product-integrity concerns and follow the reporting and resolution procedures established in this policy.
By maintaining these standards, our retail partners help preserve the quality, care, and confidence that Raleigh Reserve™ brings to every cat’s bowl.
4. Thawed or Damaged Product — Reporting & Resolution
At Raleigh Reserve™, preserving the integrity of our cuisine is a shared commitment. When concerns arise, we believe in addressing them promptly, fairly, and with clear accountability.
Product Inspection & Reporting
Any product found thawed, damaged, leaking, or otherwise compromised must be removed from sale immediately. Such products must not be refrozen, sold, or returned to retail inventory.
Retail partners should report concerns as soon as they are discovered, preferably within 24 hours, providing:
- The affected recipe and lot number.
- The quantity of affected retail packs.
- The corresponding invoice or delivery reference.
- Photographs showing the concern, when available.
- A brief description of when and how the issue was discovered.
Damage or Thawing Identified at Delivery
When products arrive damaged, thawed, or otherwise compromised due to circumstances within Raleigh Reserve’s responsibility, affected items will be replaced or credited at no additional charge.
Visible discrepancies should be documented with the delivery representative whenever possible.
Retail Storage & Equipment Failures
Once conforming products have been received and accepted, the retail partner assumes responsibility for losses resulting from its own freezer malfunction, electrical interruptions, improper storage, or handling.
Such losses are not automatically eligible for reimbursement, replacement, or wholesale credit.
Raleigh Reserve™ may, at its sole discretion, offer a one-time commercial accommodation following an individual review. Any such accommodation does not establish an entitlement to future reimbursement.
Manufacturing & Packaging Defects
Products subsequently found to have verified manufacturing defects, compromised factory seals, or packaging deficiencies attributable to Raleigh Reserve™ will qualify for replacement or credit, regardless of whether the concern was visible at delivery, subject to applicable law.
Affected Product Handling
Compromised products must be clearly identified and isolated from saleable inventory.
Retail partners must not sell, donate, distribute, or refreeze affected products.
Raleigh Reserve™ will provide instructions regarding appropriate disposal or authorized collection. Physical collection is not guaranteed and may be arranged where inspection or investigation is necessary.
No affected product may be restored to saleable inventory once its frozen integrity has been compromised.
We ask our retail partners to communicate concerns promptly so that together we may preserve the quality and confidence expected of Raleigh Reserve™.
5. Freezer Outages & Emergency Product Protection
At Raleigh Reserve™, we recognize that unexpected power interruptions and equipment failures can occur. Protecting the integrity of our cuisine during these circumstances requires prompt attention, careful handling, and clear communication.
Immediate Response
If a freezer experiences a power outage, mechanical failure, or temperature irregularity, retail partners must take reasonable steps to protect the affected inventory and notify Raleigh Reserve™ as soon as practicable.
Freezer doors should remain closed whenever possible to minimize temperature fluctuations.
If the affected freezer can no longer maintain appropriate frozen-storage conditions, products should be transferred promptly to another functioning freezer operating at 0°F (-18°C) or below, provided the products remain frozen and can be moved without compromising their integrity.
Product Inspection & Documentation
Retail partners should document the circumstances of the interruption, including:
- The approximate time the issue began and was discovered.
- Available freezer-temperature readings.
- The affected recipes, lot numbers, and quantities.
- Any evidence of thawing, leakage, damaged packaging, or other product-integrity concerns.
- The corrective measures taken to protect the inventory.
Continued Sale & Product Integrity
Products that have remained continuously frozen, with their integrity reasonably verified, may continue to be offered for sale once appropriate storage conditions have been restored.
Products that have thawed, partially thawed, or whose frozen-storage history cannot be reliably established must be removed from sale and must not be refrozen or returned to retail inventory.
Where uncertainty exists, affected products must remain isolated from saleable inventory pending review and disposition instructions from Raleigh Reserve™.
Responsibility for Inventory Losses
Losses resulting from retailer equipment failure, electrical interruption, or improper storage following proper delivery remain the responsibility of the retail partner, as established in Section 4.
Raleigh Reserve™ may consider an individual goodwill accommodation at its discretion, but such assistance is not guaranteed.
Our shared priority is to protect the well-being of the cats we serve while preserving the quality and integrity of every Raleigh Reserve™ portion.
6. Product Recalls & Retailer Protection
At Raleigh Reserve™, the safety and well-being of the cats we serve remain our highest priority. Should a product recall become necessary, we are committed to acting promptly, communicating transparently, and working closely with our retail partners to protect every household affected.
Recall Notification
If Raleigh Reserve™ initiates a product recall affecting inventory supplied to a retail partner, we will notify the retailer immediately upon initiating the recall, with same-day communication as our standard.
Notifications will identify the affected recipes, lot numbers, Best By dates, and any additional information necessary to distinguish recalled products from unaffected inventory.
Initial notifications may be communicated by telephone or email and will be supported by written instructions.
Immediate Product Removal
Upon receiving a recall notification, retail partners must immediately suspend the sale, distribution, and promotion of affected products.
All recalled inventory must be removed from saleable stock, clearly identified, and securely isolated to prevent accidental sale or distribution.
Recalled products must not be sold, donated, served, or otherwise distributed.
Inventory Verification & Customer Communication
Retail partners must promptly confirm receipt of the recall notification and provide an accurate accounting of affected inventory, including quantities remaining in stock and quantities previously sold, where records permit.
Where products have already been purchased by customers, Raleigh Reserve™ and the retail partner will cooperate in communicating appropriate recall information and customer instructions.
Such communication may include direct customer notification, in-store notices, or other measures appropriate to the recall.
Product Collection & Disposal
Raleigh Reserve™ will provide instructions for the handling, authorized collection, or disposal of recalled products.
Retail partners must not independently return, dispose of, or release recalled inventory unless instructed by Raleigh Reserve™ or required by an applicable regulatory authority.
Product disposition must be documented to maintain accurate recall records.
Recall Costs and Commercial Remedies
The allocation of reasonable recall, recovery, transportation, disposal, or other corrective-action costs will depend on the circumstances, applicable law, and any governing agreement.
Responsibility should not be assigned solely on the basis that merchandise was in a particular party’s custody when the concern was discovered.
Relevant considerations may include product condition before delivery, subsequent storage and handling, transportation arrangements, documented defects, and the cause of the issue where reasonably established.
Ordinary wholesale returns and commercial claims remain subject to WPP-04.
Nothing in this section limits nonwaivable product-safety responsibilities or legally required remedies.
Our Continuing Commitment
Raleigh Reserve™ will maintain communication with affected retail partners throughout the recall process and provide updates as material information becomes available.
Our responsibility extends beyond preparing exceptional feline cuisine. It includes the care, transparency, and accountability necessary to earn and preserve the confidence of those who welcome our products into their homes.
